Real Estate Dialer for Brokerages Calling Portal Enquiries and Booking Site Visits
The Auto Dialer is a real estate dialer that gives each agent a queue of assigned enquiries, calls them from the agent's own phone and keeps the whole brokerage's call history in one place.
Real estate dialer for brokerages
The Auto Dialer is a real estate dialer built around the brokerage's lead flow rather than around a call centre seat. Enquiries arrive from portals, ad forms and walk-ins; the app pulls them in from a Google Sheet or a REST API on a background schedule, tags the source, and hands each one to an agent's pending queue. The agent starts a calling session and the phone works down that queue, one number at a time, through the SIM already in the handset. During the call the screen shows the lead's status and last remark, and the full record with the buyer's requirement is one tap away; after it, a sheet asks for a status, a note and a follow-up time in two taps. The concrete difference from a cloud system: no line is rented, and buyers see the agent's own number. As of 4 October 2026 the app runs on Android and iPhone in 40+ languages, and the iPhone version lacks only the phone's own call log.
Real estate dialer workflow
A property enquiry has a short life. The table follows one through a brokerage, from arrival to the visit and beyond.
| Moment | What the team does | What the app does |
|---|---|---|
| Enquiry lands from a portal or ad | Nobody has to copy it by hand | Imports the row from the connected sheet or API, drops duplicates, tags the source |
| Enquiry needs an owner | Manager decides who calls which project or area | Assigns it to an agent's pending queue, or round-robin through the web CRM source |
| First call | Agent qualifies budget, location and timing | Dials the queue hands-free; the full lead record can be opened during the call |
| Visit agreed | Agent fixes a day and time with the buyer | Sets a status such as "visit booked" and an alarm-style reminder for the confirmation call |
| At the property | Site executive shows the flat or plot | Adds the visit location to the remark with area name and coordinates |
| Buyer goes quiet | Senior agent takes over the negotiation | Transfers the lead with its transfer history kept; unreachable numbers collect in lost leads |
| Booking made | Accounts records the token amount | Moves the buyer to the clients tab, showing what is received and what is still owed |
Real estate dialer features for team leads
The controls a brokerage owner tends to ask about first:
- Team call logs. Every agent's calls roll up to the owner's account. Best for spotting enquiries that were never called.
- Locked call gap. The admin sets the pause between calls and agents cannot shorten it. Best for teams where notes get skipped.
- Done tab. Every worked enquiry is labelled with its route out of the queue: dialer session, click to call, manual mark or transfer. Best for weekly reviews.
- Attendance with selfie and location check. Branch geofence, working hours and late cut-off. Best for brokerages with site staff who rarely sit in the office.
- Auto WhatsApp after a call. A separate message for missed, outgoing and incoming calls, such as a project brochure link after a first call. Best for buyers who prefer to read before they talk.
The owner's side of the product is described in more depth under auto dialer software for managers, and the rules for retrying buyers who did not pick up are on the auto redial settings page. Capturing, tagging and assigning enquiries is covered under lead management for real estate.
Real estate dialer example
A hypothetical Saturday with tidy numbers; no client data behind it.
A sales manager at a residential brokerage in Johannesburg runs five agents. On a Saturday morning 50 new portal enquiries are waiting, split 10 per agent by the round-robin source. Each agent starts a session at 9:00. Say 6 of their 10 answer; the other 4 get one retry after the list. By lunch the manager's team log shows 50 enquiries called, and the status filter shows how many reached "visit booked". Those buyers receive the agent's WhatsApp follow-up automatically, and each has a reminder set for a confirmation call the evening before the visit.
Real estate dialer setup
- Create statuses that match your sales stages: new, contacted, visit booked, visited, negotiating, booked, lost.
- Add custom lead fields for budget, property type and preferred area.
- Connect the sheet or API your enquiries land in, and map its columns to those fields.
- Invite agents, set the call gap and the minimum call length, then assign the first leads.
Installing the app on each agent's phone is a separate job, covered step by step in our auto dialer installation guide. Brokerages comparing it with tools other industries use can browse the auto dialer for business overview. A solo agent working a personal sphere has a different routine, covered under auto dialer for real estate agents. Brokerages in India will find local channels and TRAI calling rules under CRM for real estate in India.
Real estate dialer limits
One handset makes one call at a time. That suits warm enquiries, where each conversation matters, but a team planning to cold call thousands of homeowners a day will want a cloud platform that dials several lines per agent; the trade-offs are explained under power dialer. The Auto Dialer also has no voicemail drop, no answering machine detection and no recorder of its own (on Android it imports the phone's recordings). Cold calling itself is regulated: US brokerages must respect the federal do-not-call register, and other countries have their own registers, listed on the do not call list page. Investors calling motivated sellers can read the dialer for wholesale real estate page. This is general information, not legal advice.
Real estate dialer FAQ
11 questions, answered
What is a real estate dialer?
A real estate dialer is calling software that works through a list of property contacts without anyone typing numbers, and records the outcome of each call. Brokerages use one for portal enquiries, open-house sign-ins, past buyers and seller leads.
Which real estate dialer suits a brokerage that calls its own enquiries?
The Auto Dialer suits that brokerage. Each agent dials assigned enquiries from their own phone, one live call at a time, and the manager sees every call, status and booked visit in one account without renting phone lines.
Is The Auto Dialer a real estate dialer?
Yes. The Auto Dialer is a real estate dialer with a property-friendly CRM, on both Android phones and iPhones. It calls property leads one by one through the agent’s SIM, opens the lead record during the call and logs status, remarks and site-visit reminders afterwards.
Does a real estate dialer system need a computer and headset?
Cloud platforms usually do. A phone-based system does not: the app runs on the agent’s handset and dials over the mobile network. A computer is optional, for clicking numbers in Chrome so the phone places the call.
Can the manager stop agents from rushing through the list?
Yes. An admin can fix the pause between calls so agents have time to write a remark, and a shortest-allowed call length sets when an enquiry counts as worked. A one-second call does not mark an enquiry as done.
Is there a free trial and what does it cost?
Yes, a brokerage can trial it free with its own enquiries. The fee is charged per agent and varies with headcount; message +91 63674 64415 on WhatsApp for a quote. Call minutes come from each agent’s existing mobile plan.
Is a predictive dialer better for real estate?
For high-volume cold calling, a predictive dialer reaches more people per hour, but it rings several numbers per agent and can leave answered calls waiting or dropped. For portal enquiries and past buyers, where each conversation counts, one call at a time with the lead record open usually serves a brokerage better.
How quickly do new portal enquiries reach an agent?
If the portal or ad form feeds a Google Sheet or an API, the app checks that source in the background on a schedule, drops repeated numbers and places each new row in an agent’s queue. The agent then rings it in the next calling session, without anyone copying details by hand.
Can a brokerage keep each agent’s buyers separate?
Yes. Each enquiry is assigned to one agent’s pending queue, and the shared filter shows leads by owner. When an agent leaves or takes leave, the manager moves those buyers to a colleague and the transfer history stays on every record. WhatsApp CRM chats remain with the brokerage too.
Does a real estate phone dialer record calls?
The Auto Dialer makes no recordings of its own. On Android it can bring in the files the handset’s built-in recorder saves, or a recording an agent shares into the app, and keep them with the lead, which helps when a buyer later disputes what was offered.
Can every agent send the same project brochure after a call?
Yes. Save the brochure as a message template with the PDF attached, and any agent sends it on WhatsApp in one tap. For a hands-off route, the automatic message after outgoing calls can carry a brochure link, and its history lists what was sent, skipped or failed.
