An Excel auto dialer takes a workbook full of phone numbers and calls them in order, so nobody has to read a number off a screen and key it into a handset. Excel itself cannot do this; it stores the numbers, and a dialer places the calls. The Auto Dialer handles the dialer half on an Android phone or iPhone. The file can come from anywhere: an export from accounting software, a list a client emailed, a sheet a colleague sent on WhatsApp. Share it into the import screen, tell the app which column holds the mobile number and which hold the name and other details, and the rows become leads. On the way in, repeated numbers collapse into a single lead, country codes are sorted out, and any row that cannot be used is reported with its reason. The import accepts 3 formats, Excel, CSV and JSON, so most exports work without conversion.

Excel auto dialer steps

  1. Put headings in the first row of the workbook and keep the mobile numbers together in one column.
  2. Store that column as text in Excel, so a leading plus sign or zero is not stripped from the numbers.
  3. Send the file to your phone by mail or WhatsApp, or download it in the phone's browser.
  4. Share it into the app's import screen and match the headings to lead fields.
  5. Read the import report, correct the source file if many rows were skipped, and import again.
  6. Open the new list, choose your redial rule and start dialing.

A sales executive at an exhibition organiser in Birmingham exports 250 past exhibitors from the booking system as an Excel file, with columns for contact name, company, stand size and mobile. An imported file is a snapshot. Rows added to the workbook later do not appear until you import again, which is why a live source suits daily leads better. Phone dialing also means one call at a time, so a file of tens of thousands of numbers worked by a big team is a job for call centre dialing platforms. And the source of the numbers matters as much as the tool: a purchased spreadsheet of strangers should be checked against calling rules in each country before the first session.
