Outsourcing and process teams
Dialer for BPO Teams, Matched to Each Process and Client Requirement
Choosing a dialer for BPO work starts with the process, not the software. The Auto Dialer fits warm outbound processes run on mobile phones, and this page says plainly which processes it does not fit.
Dialer for BPO processes
The Auto Dialer serves outsourcing firms whose outbound work is calling people a client already knows: policy renewals, payment reminders, order confirmations, enquiry callbacks and customer verification. In those processes the list is short enough that a pacing algorithm adds little, and the client cares more about what each agent said than about raw attempts per hour. The app rings through a list in order from the agent's own SIM, records the outcome, a note and the next call-back date once each call ends, and rolls every agent's calls up to the process manager's account. Agents can sit in an office or at home, because attendance is checked with a live selfie and an office location test against branch rules. Since 12 February 2025, firms calling Indian numbers also have to account for TRAI's ban on telemarketing from ordinary 10-digit numbers, which rules out cold promotional processes on agents' personal SIMs for that market.
This is general information, not legal advice. Before signing a process, check it against the rules of the country whose numbers will be called.
Dialer for BPO by process type
| Process | Dialer the process usually runs on | Fit for The Auto Dialer |
|---|---|---|
| Renewal and retention calls | Power or preview | Good fit: client's own customers, outcome notes per call |
| Payment reminders | Power, with careful retry limits | Good fit, with redial kept to one or two tries |
| Enquiry callbacks for a client | Power, fed from forms or sheets | Good fit: new rows import from a sheet or API automatically |
| Verification and onboarding calls | Preview | Good fit: the agent sees the lead record before and during the call |
| Cold outbound sales campaigns | Predictive on a registered calling route | Poor fit: no pacing, and a personal SIM is the wrong line |
| Inbound customer support | Inbound routing with queues and IVR | Not offered |
| Recorded message campaigns | Voice broadcasting | Not offered; every call connects a live agent |
Dialer for BPO client requirements
Clients write their own conditions into outsourcing contracts. These are the ones a phone-based setup can meet:
- Proof of work. Each attempt is logged against the lead as well as in call history, and the Done tab records the way every lead was finished. Best for clients billed per worked record.
- Data stays with the business. Calls, leads and WhatsApp chats back up to the company account, and chats remain there when an agent leaves. Best for processes with agent turnover.
- Numbers kept out of reach. Excluded numbers are left out of backup and automation. Best for client VIPs or opted-out customers.
- Recordings, where the phone makes them. Android handsets that record calls themselves can feed those files into the lead record automatically, or an agent can share a file in by hand. The app itself makes no recordings. Best for quality review on Android floors.
- Daily handover. CSV export of the filtered leads, or data pushed to the client's CRM through its API. Best for clients who keep their own system of record.

Dialer for BPO management, worked through
Worked through with round numbers; this is an illustration, not a client result.
A process manager in Nairobi takes on a renewal process for an insurance client: 3,000 policyholders due in the next month, 15 agents. She imports the client's file once, which becomes its own list, and splits it into 15 queues of 200. Each agent works through about 50 a day, so the first pass finishes in four working days (200 / 50). Retries are set to two, after the list, so unanswered customers come round again at the end of each queue. On Friday she filters by status "Renewal agreed", exports that view to CSV and sends it to the client. Customers who asked not to be called are moved to excluded numbers the same day. How insurers run the same renewals in house is covered on the insurance dialer page.
Dialer for BPO limits
If a process is inbound, needs live call barging, runs cold lists at volume or must use a registered telemarketing route (see dialer for telemarketing), a phone-based dialer is the wrong tool and a contact centre platform is the right one. The difference between one-line and multi-line dialing is explained under predictive dialer, and outcome codes for client reporting under call disposition. Before taking on a process that calls another country, check that country's register on the do not call list page.
Dialer for BPO FAQ
11 questions, answered
How many types of dialer are there in BPO?
BPO floors usually name four: preview, progressive or power, predictive, and plain click-to-call dialing by the agent. Some add voice broadcasting, which plays a recording rather than connecting an agent. The type a process uses usually depends on list size, consent and what the client contract allows.
Which dialer is used in BPO outbound processes?
Large outbound BPO processes often run predictive dialers on a cloud or on-premise platform, because the volume justifies pacing. Smaller warm processes, such as renewals, verifications and callbacks on client-supplied leads, are often run with power or preview dialing, where an agent handles one call at a time.
Which dialer for BPO suits a small outbound process?
The Auto Dialer suits a small outbound process where agents call leads the client has a relationship with. Agents dial from phones, leads are assigned per agent, outcomes are saved after each call, and the process manager sees every call in one team log.
Is The Auto Dialer a dialer for BPO operations?
The Auto Dialer is a dialer for BPO teams running warm outbound work on mobile phones. It is not a full BPO platform: it has no inbound queues, no predictive mode, no live monitoring and no voice broadcasting, so most inbound and high-volume cold processes need a different system.
Can a BPO hand the call data back to the client?
Yes. Leads export to CSV following whatever filter is active, so a process manager can send the client one file per campaign or per day, with status, remarks and follow-up dates. A client CRM with an API can also receive call and CRM data pushed from the app.
What is a dialer in BPO?
In a BPO, the dialer is the system that feeds numbers from a client’s campaign list to agents and places the calls, so agents spend their shift talking instead of keying digits. It also records each attempt, which becomes the evidence the BPO shows the client when billing or reporting on a process.
What is dialer management in BPO?
It is the back-office job of running the dialer: loading and cleaning lists, choosing the dialing mode and retry rules, splitting records between agents, watching connect rates during the shift and producing the client report. On a phone-based setup, the same tasks become list imports, lead assignment, redial settings and filtered CSV exports.
Can one BPO team run separate processes for different clients?
Yes. Each client file imports as its own list, so agents can dial one list at a time and a manager can filter, export or delete a single client’s data, and removing a list deletes just the leads that came in with it. Custom statuses and fields can match each client’s outcome codes.
Can a new BPO start outbound work without buying a dialer platform?
For warm outbound processes, yes: agents on smartphones with The Auto Dialer need no seats, headsets or trunk lines, and calls go on each phone’s plan. The catch is fit. Clients wanting inbound queues, live monitoring, predictive pacing or a registered telemarketing route will still require a contact centre platform.
How does a BPO run quality review without live call monitoring?
After the call rather than during it. On Android floors, recordings the handset makes can be pulled into each lead; reviewers then read the remark, check the status and listen to the file. The Done tab and team call logs show which records were actually worked, and a minimum call length flags very short calls.
Is a phone-based dialer suitable for a payment reminder process?
It fits well when the debtors are the client’s own customers. Agents record a promise-to-pay as a follow-up alarm on the agreed date, remarks show on the next call, and redial can be held to one or two tries so customers are not rung repeatedly. Check the debt-collection rules of the country being called before starting.
