Calls Per Hour Calculator for Ring Time, Talk Time, Notes and Gaps

This calls per hour calculator turns four averages from your own day into a realistic hourly call rate, and the time a whole list will take. No sign-up; it runs in your browser.

Calls per hour calculator formula

Calls per hour equals 3,600 divided by the average seconds one call occupies from the moment it starts ringing to the moment the next one starts. That cycle has four parts: ring time, talk time, note-taking time and the gap before the next dial. With a 20-second ring, a 3-minute conversation, 40 seconds of notes and a 10-second gap, one cycle lasts 250 seconds, and 3,600 ÷ 250 = 14.4 calls an hour. Most estimates go wrong by leaving out the notes and the gap, which are small per call and large across a day. The Auto Dialer shrinks the parts that are not conversation: a ring limit ends unanswered calls at a time you set, the gap between calls is a fixed setting an admin can lock, and the after-call sheet records status, remark and follow-up in about 2 taps, so the notes figure falls without the record getting thinner.

Calls per hour calculator with unanswered numbers

A real list mixes answered and unanswered calls, and they take very different times. Work out each kind, then blend them. Suppose half the numbers answer. An answered call takes the 250 seconds above. An unanswered one takes only the ring limit plus the gap: 30 + 10 = 40 seconds, with no notes. Twenty dials therefore take 10 × 250 + 10 × 40 = 2,900 seconds, or 145 seconds per dial on average. 3,600 ÷ 145 = about 24.8 dials an hour, of which about 12.4 are conversations. Enter 145 seconds as a single average (for example ring 145, everything else 0) and the calculator gives the same answer. Numbers that keep missing are better handled by redial rules than by ringing longer.

Calls per hour calculator in Excel

Put ring seconds in B2, talk minutes in C2, note seconds in D2 and gap seconds in E2. In F2 enter =3600/(B2+C2*60+D2+E2) for calls per hour. For actual rather than planned figures, divide the day's call count by the hours spent calling, and keep both numbers in the sheet so a short day does not distort the average.

Calls per hour calculator for cold calls

First-contact lists usually answer less often and talk for shorter periods than follow-up calls, so the blended method above matters more there. The biggest lever is not speaking faster; it is removing dead time between conversations, which auto dialing exists to do: looking up numbers, keying digits and waiting on rings. The comparison of auto dialer vs manual dialer walks through where that time goes, and a power dialer is the general name for software that moves straight on to a fresh number whenever a call ends. Keeping outcomes consistent, through a short call disposition list, stops note time from creeping up as the day goes on.

Calls per hour calculator example

Worked with round numbers for illustration; not a customer's figures.

An inside sales rep in Melbourne has 120 numbers for the day, and about half usually answer. Using the blended 145 seconds per dial, the list needs 120 × 145 = 17,400 seconds: 4 hours 50 minutes of calling. Her manager planned 6 hours, so she has room for lunch and two breaks. If note time drops from 40 to 20 seconds, each answered call saves 20 seconds and the 60 answered calls save 20 minutes in total.

Calls per hour calculator limits

An average hides spread: one 25-minute call can eat the time of ten short ones, and breaks, training and meetings are not in the formula. Treat the result as a planning figure, not a target to enforce, and never as a reason to dial ahead of free callers and raise the abandoned call rate. More calls per hour also says nothing about whom you may call or when; calling-hour rules limit the day itself in several countries. To see how dialing methods differ in pace, start with the outbound dialer types, and for setting the gap and ring limit in the app, see how to set up the auto dialer.

Calls per hour calculator FAQ

11 questions, answered

How many calls can you make in an hour?

Divide 3,600 by the seconds one call really takes, from first ring to the next dial. With a 20-second ring, 3 minutes of talk, 40 seconds of notes and a 10-second gap, that is 250 seconds, or about 14 conversations an hour. Unanswered numbers are quicker, so dials per hour run higher.

How many calls an hour should a telemarketer make?

There is no honest universal number; it depends on how long good conversations last in your trade. Set the target from your own averages using the calculator, then judge callers on outcomes per hour as well, since a target that only counts dials rewards rushed, short calls.

Does an auto dialer increase calls per hour?

It removes the time spent finding and keying each number and stops unanswered calls at a fixed ring limit, so dials per hour usually rise. It does not shorten conversations. The gain is largest on lists with many unanswered numbers, where manual dialing wastes the most time.

Does The Auto Dialer show calls per hour?

The Auto Dialer shows call totals, connected calls, missed calls and unique numbers for today, the week, the month or a custom range, and an owner also sees the team’s calling activity. Divide a day’s totals by the hours spent calling to get the hourly figure.

Which calls per hour calculator counts note-taking time?

This calls per hour calculator from The Auto Dialer has a separate field for notes, because the minute spent writing up a call is the part most estimates forget. Enter your real average and the result drops to a figure you can actually plan around.

What is the calls per hour formula?

Calls per hour equals 3,600 divided by the seconds in one call cycle, where the cycle is ring time plus talk time plus note time plus the gap before the next dial. Convert talk minutes to seconds by multiplying by 60 before adding the parts.

How do I calculate calls per hour in Excel?

Enter each part of the call cycle in its own cell, all in seconds, then divide 3,600 by their sum, for example =3600/SUM(B2:E2). For actual rather than planned figures, divide the calls logged by the hours spent calling, keeping both columns visible.

How can I increase calls per hour?

Cut the time that is not conversation: stop hunting for numbers, cap unanswered rings with a ring limit, keep after-call notes to a short status and remark, and fix the pause between calls. Rushing the conversations raises the count but usually lowers the results.

How many cold calls per hour is realistic?

Work it out from your own list rather than a borrowed figure: measure your answer rate, average ring-out and talk length over a day, then blend answered and unanswered calls as shown on this page. Cold lists usually bring more short ring-outs, so dials outnumber conversations.

What is the difference between dials per hour and conversations per hour?

Dials count every number rung, answered or not; conversations count only calls where someone spoke. On a list where half answer, a session of 24 dials yields about 12 conversations. Track both, because dials show effort and conversations show reach.

Does the gap between calls really matter?

Yes, because it repeats on every dial. A 10-second gap across 200 dials adds 2,000 seconds, more than half an hour. In The Auto Dialer the gap is a setting the caller adjusts and an admin can lock, so the whole team works at an agreed pace.
