Preview Dialer Workflow: Read the Record First, Then Decide When to Call

With a preview dialer the caller studies the account before anything rings and chooses the moment to start. The Auto Dialer supports that habit through tap-to-call from a filtered lead list.

Preview dialer meaning

Of all the types of dialers, the preview dialer is the one in which the human sets the pace. Software queues the records and logs the results, but no number rings until the caller has read enough and presses go, so the count of calls ringing while they read is zero. That makes it the slowest type per hour and the best prepared per call, close in pace to the hand dialing weighed in auto dialer vs manual dialer. It is common where every account has a back-story: collections with payment plans, key-account management, support callbacks. The Auto Dialer approaches the same need from two sides. Inside a calling session the lead's name, status and most recent remark appear while the number rings, a short preview that costs no extra time. Outside a session, a single customer screen holds past calls, chat history, notes and reminders under separate tabs, and a tap on the number places the call from your SIM. What the app does not have is a timed preview mode that waits for a button inside the session.

Preview dialer vs predictive dialer

Between the two sits power dialing, along with the progressive dialer, where the next call starts by itself but only one rings per person. It is the default mode of The Auto Dialer. The forecasting end of the scale is explained under predictive dialer.

Preview dialer workflow on a phone

  1. Open the shared lead filter and narrow it: due today, status, tag, source, product or a custom field.
  2. Open the first lead. Read the tabs: past calls, chats, remarks and reminders.
  3. Tap the number. The call goes out through your chosen SIM.
  4. On hang-up, set the status, add a remark (by voice if you like) and pick the follow-up time.
  5. Return to the filter and open the next lead. The remark you just wrote will show on the next call to that person.

Teams that keep records this way are effectively running a telecalling CRM with the dialer built in, a setup compared with bolt-on dialers under CRM dialer.

Preview dialer example

A made-up scenario with round numbers, not a customer story.

An account manager at a flooring wholesaler in Toronto looks after 30 distributors and calls each one every month. Every account has open orders, a credit limit and last month's complaints. She spends about 2 minutes reading each record and about 6 minutes on each call, so the round takes 30 times 8 minutes, 240 minutes, spread over two mornings. Power dialing would save most of the 60 reading minutes but would put her on the phone with a distributor before she had remembered the damaged delivery. For this list, the reading is the work. For her Friday batch of 80 small retailers with no history, the opposite holds, and a session with the lead card on screen is the better tool.

Preview dialer limits

Preview dialing is slow by design, and it depends on discipline: a caller can sit on a record for five minutes and call nobody. In The Auto Dialer there is no per-record timer to push them along; an owner sees the gap in the team call logs instead. If your list has little history, use a session and let the next call start itself. If you need a contact centre preview mode with timers, forced dial and queue routing, that is a feature of cloud platforms, not of a phone app. Calls in arrears work, where preview is most common, are covered under collections dialer, and starting single calls from a browser under click to call.

Preview dialer FAQ

11 questions, answered

What is the meaning of preview dialer?

A preview dialer hands the caller the next record and waits. The caller reads the history, decides whether and when to ring, then starts the call. The software chooses the order and keeps the log; the person controls the timing.

What is the difference between preview and predictive dialing?

Preview dialing lets the caller study a record before any call starts, so nothing rings until they are ready. Predictive dialing starts calls before agents are free and connects whoever answers. The first trades speed for preparation; the second trades preparation for speed.

Is The Auto Dialer a preview dialer?

In part. The Auto Dialer shows the lead’s details while the number rings in a session, and for full preview work you open a lead’s history and tap to call from it. It has no countdown-style preview mode inside a session.

Which preview dialer runs on Android and iPhone?

The Auto Dialer gives preview-style calling on both platforms: filter the leads you need, read each one’s calls, chats, remarks and reminders on a single screen, and tap to dial from your SIM. The outcome is logged against that lead.

When should a team use preview dialing?

Use it when a wrong opening line costs more than a few minutes of reading: large accounts, disputed invoices, a customer who complained last week, or any call where the last three conversations shape what you say next.

What is preview dialer software?

It is the contact centre or CRM module that serves agents one record at a time and holds each call until the agent accepts it. Common extras are a countdown that dials once time runs out, a skip button that asks for a reason, and outcome codes saved against the record.

How is preview dialing different from power dialing?

In preview mode the caller reads first and releases every call personally; in power mode the next call starts by itself as soon as the last one ends. Preview buys preparation at the cost of pace, while power keeps a steady rhythm and shows only a brief summary as the number rings.

Can a preview dialer skip a record?

Yes, and that is one of its strengths. The caller sees the account before anything rings and can pass it over, for instance when a dispute is open or someone spoke to the customer yesterday. Platforms usually log a skip reason so supervisors know what was left uncalled.

Is preview dialing slower than manual dialing?

Usually not. Both leave the timing to a person, but preview software queues the next record, keeps the history beside it and logs the result, so the caller avoids the hunting and note-copying that hand dialing involves. Conversation pace is similar; the admin around each call shrinks.

Does preview dialing cause abandoned calls?

No. Nothing rings until the caller decides to start, so whoever answers is greeted by the person who launched the call. Preview belongs with manual and power dialing among the modes that never leave someone picking up to dead air.

What should a caller check during a preview?

The previous outcome and remark, any promise made last time, open payments or complaints, the agreed follow-up date, and which SIM or number to ring from. A short checklist stops the preview from becoming reading time that never ends in a call.
